For a long time, updating your product data in Promodata meant either maintaining a live API connection, or wrestling with spreadsheets and waiting for someone at our end to process the changes. It worked — but it wasn’t exactly slick.

That changes today.

We’re thrilled to announce the launch of the Promodata Supplier Portal — a free, purpose-built tool that gives AU-NZ promotional product suppliers direct access to their listings in the Promodata feed. It’s a clean, intuitive interface where you can see your products exactly as distributors do — and depending on your access type, edit them in real time.


Your Access Type — What You Can Do

API-Connected Suppliers — View & Audit

If your catalogue flows into Promodata via an API integration, your Portal access is view only — which makes sense, since your source of truth lives in your own system.

But don’t underestimate the value of that. The Portal gives you a proper window into how your data is actually presenting in the feed. You might be pushing great data from your end, but there’s always the odd field that doesn’t map the way you expected, or a product detail that gets lost in translation. Now you can see it, flag it, and fix it at the source.

Use it as a quality control layer. Your distributors will thank you for it.

CSV-Based Suppliers — Full Edit Access

If you’re currently managing your data via CSV files, the Portal is genuinely going to make your life easier.

You’ve got full edit access — update descriptions, specs, pricing tiers, images, colours, and more, directly through the interface. There’s built-in tooltip help on every field, so you’re never guessing what goes where. Save your changes and they’re live in the feed immediately, ready for distributors to pull in their next scheduled sync..

Prefer to work in bulk? You can download your full catalogue as a CSV, make your changes offline, and send it back to us to load — handy if you’ve got a large batch of updates to get through at once.

No more emailing spreadsheets back and forth with no visibility. Just clean, straightforward updates.


What Else Can You Do in the Portal?

Beyond viewing and editing product details, the Portal also lets you:

  • Preview your listings — see exactly how each product presents to distributors
  • Manage product status — discontinue or deactivate products that are no longer available
  • Take ownership of your Verification status — more on this below

A Word on Verification

If you’re not familiar with data verification in Promodata, here’s the short version: verified products display a Verified badge that appears on APPA Search, dedicated promo business management software like Brandengine, and a flag in the API data feed. It signals to distributors that your product information is current and accurate. Products that aren’t re-verified within three months lose that status — and after six months, they’re temporarily hidden from the feed altogether.

Previously, the verification process required a manual prompt from our team, which created a dependency that didn’t need to exist. Through the Supplier Portal, you can now manage this directly — on your own schedule, without waiting on anyone.

For API-connected suppliers, your products are automatically verified by virtue of the live feed. For CSV-based suppliers, the Portal puts that control squarely in your hands.
